Board of Directors Meeting Minutes

Attendance: Ed Smith, Dave Diveley, Greg Mattson, Donna Harris, Rhonda Harper, Bob Laskey, Deb Laskey , Vernette Karnes , Jeff Gindy , Brent Mallek, Mary Kyrouac, John Hall, Mark Goldfain, and Kim Butterfield

Visitors: None

Ed called the meeting to order at 6:31.

Ed questioned if anyone had any changes to the previous meeting’s minutes.  None stated.  Dave motioned to accept the minutes.  Vernette seconded.  Passed.

Officer Reports:

A.     President- Ed has the check from the Village of Bourbonnais.  Vernette will make sure that newsletter acknowledges donation.  Ed talked to Coach Rohan and they will respect Dynamo’s soccer practice times and be off of Dynamo fields.

B.     Vice President-  The laborers will donate storage units.  Dynamo does not currently have any need.  Dave built the box around the pump.  It needs to be painted.  He would also like to add no smoking signs.

C.   Secretary- Nothing to report.

D.   Treasurer- Balance of $69338.38 with approximately $1500.00 currently to be paid out and $1230.00 to be deposited.  Dave motioned to accept the treasurer’s report.  John seconded.  Passed.  Mark will check again with Dick Stenzenger on 2004 year end audit.  Mark also presented bar graph detailing investment comparisons.  It was suggested that each board member look over and issue will be tabled to next meeting.

E.   Parent Representative- Mary checked with Maureen and she is ready in concession stand.  Mary had hand out ready for parent meeting.

Committee Reports:

A.   Fields and Grounds- Greg recommended that we purchase nets and use correct sizes and color coordinate for the age groups.  Matt will check on prices.  Art will fix trenches on Saturday.  Matt will up the amount of times the fields is watered during this dry spell.  Fireworks committee will be cleaning fields.

Parking lot needs to be graded.  Dave will get quotes along with weed killing. 

Parking issues were also discussed again.  Jeff will try painting lines in gravel. 

B.   Sponsors- Deb provided list of sponsors used.  Mark will check to see if paid.

66 sponsors paid.  63 teams used.  Dave provided an example of a magnetic sign that could be displayed prominently on the building in exchange for the sponsor fee.  The signs are $50.00 each.  Jeff motions to charge any additional sponsors $250.00 to display sign.  John amended the motion to have package for any team sponsors.  They can have team and sign for $400.00.  Passed.

C.   Fundraising- Kim emailed teams to Crown Fundraising.  It was suggested that Dynamo should add to team parents note and newsletters that fundraiser is pre-pay.  Verified fundraiser dates are correct on calendar.  Kim will order umbrellas.

D.   Concessions-  Maureen needs a couple crock-pots and 3 tray cooler for condiments.  Maureen will verify prices, but due to low dollar amount President can approve.   Jeff reported in email that the pop machines were broken into again.  They cut the locks off the machines and used their vehicle and a chain to rip the door open on one of the machines. The money was gone, but most of the pop was still there. Jeff called the Sheriffs office and made a report.  It was decided that the Pepsi machines would be removed permanently.  It was suggested with the pop machines removed that the concession either have a drinks only line or possibly an ice chest with attendant selling drinks only.

E.   Equipment- Scott received bids on the 3 highest votes for trophies.  The board voted and the winning trophy has a bid of $4.29 for ACI and $4.00 from Xtreme.  Mary motioned to accept the bid from Xtreme.  Brent seconded.  Passed.

Uniforms have been ordered from Action Sports.  They should be available July 25-27th.  There was one logo left to deliver for Dr Sipahi.  21 game balls have been ordered that are red with white swirl.  Scott has not ordered practice balls yet. 

Scott ordered 3 replacement springs for the spring base flags.  Scott recommended ordering 1-2 sets of flags.

Action sports is providing gift for each team of ball pump, mesh ball bag, and set of 6 disc cones.

Scott and Vernette are still working on Board member shirts.

F.    Coaching- Alex Habeeb will run coaching clinic this year.  The coaches’ clinic will be from 6:30 to 8:30 July 6th after roster pick up.  Bob motioned that a coach cannot choose both Tuesday and Thursday for practice, as they are the most sought after night.  Donna seconded.  7/5 passed.

G.  Schedules- Vernette requested that any one with schedule requests to email her.

H.   Pictures- nothing to report.

I.      Building- Brent passed out keys for light.

J.     Draft- Deb advised that there are 63 teams.  There was one 5-year-old team that has fewer players because one of the players was listed twice.  Deb will add the player from the waiting list to that team.  When selecting the teams, the draft committee tried to number the players per team so that the players could play as close to ¾ of the game as possible.  Dynamo rules state that a player has to play ½ of the game.  Bob motions to drop last sign up since there were only 14 signups.  Deb seconded.  Passed.

K.   Publicity- Jeff received letter back from National City for grant application.  The winner will be notified on July 11th.

L.    Referee in Chief- Referee clinic July 16, 23 from 9-12.  Bob motioned to allow elevated legal physical play for the 10-11, 12-14 age groups.  Brent seconded.  Passed.

M. Risk Management- Nothing to report

Deb emailed out code of conduct.  Dave motioned to accept and that coaches will have to turn in signatures from each player’s parent to receive their jerseys unless the signature missing is due to absence of that player (i.e. on vacation for entire time).  Mark seconded.  Passed.

Dynamo has discussed switching it’s membership from IYSA to SAY.  The following are email transcripts:

A. Yes you can. 

Q. What is the cost per player with SAY?
A. $7.00 per player per year. NO Additional Fees.

Q. Why is our league affiliated with SAY?
A. The benefit list is long, however, most all leagues enjoy the administrative flexibility SAY provides, the outstanding benefit to dollar ratio and high level of customer service.  

Q. Does SAY provide our league with insurance?
A. Yes, A Two Million dollar Liability policy with adequate umbrella and $50,000 Medical/Accident insurance which can act as primary or secondary.

Q. Can SAY players participate in Tournaments?
A. Yes, SAY is a United States Soccer Federation (USSF) Affiliate Member. One dollar of every SAY registration goes back to USSF. This affiliation allows every SAY player the opportunity to participate in Open tournaments in any US state.

Q. Can a Soccer club register its recreational players with SAY and its premier players with USYSA or US Club Soccer?
A. Yes, this is an ideal soccer club set up.

Q. Does SAY offer an All-Star or more advanced soccer league?
A. Yes, SAY offers its Recreation-Plus leagues. Learn more on page 22 of the 2003-04 SAY Rulebook or on our website

Q. Does SAY provide coaching and referee support?
A. Yes. This is a good example of the great flexibility SAY provides. It is desired that all coaches receive training through an accredited program. SAY offers financial support to offset the cost of specific coaching clinics. We provide assistance in developing curriculum with coaching professionals in your community to provide SAY specific certification. Plus, SAY recognizes many current coaching certifications including USSF and NSCAA. SAY provides recommended referee qualifications supported by Free and inexpensive training and support materials.

At the Soccer Association for Youth (SAY), our philosophy is simple - every player plays at least one half of every game, with leagues forming balanced teams and divisions.

Our members experience flexibility in operating their own local programs, with minimal restrictions. Your organization can register your recreational players for SAY membership for just $6.00 per player (ages 4-18) plus a $1.00 per player USSF membership fee (beginning in January of 2002) and then take advantage of the following SAY benefits:

·       Administrative support offering organizational structure, playing rules, and an Administrator's Handbook.

SAY PHILOSOPHY

1.      The Soccer Association for Youth (SAY) was formed to provide an organization within which children could learn and play soccer, the world's most popular sport. The fact that any size player can be successful at the game and the modest expense required to field a team, make it possible for many children to participate in organized competition. These factors, plus the enthusiasm of the children once they have played the game, have resulted in a rapid growth of the SAY Program.

2.      It is the function of SAY:

A. to provide

§       1. guidance and instruction for new participants,

§       2. an organizational structure to form leagues and schedule games; and

B. to prescribe rules and regulations which will ensure safe, enjoyable and fair competition.

3.      A youth program should be, as its name implies, a program for the kids. To win at any cost may be the proper attitude for the highly skilled professional, but is contradictory to the basic objectives of the Soccer Association for Youth. Stacking teams, tryout camps, all-star powerhouses, etc., may produce a climate of excellence for a talented few, but will not in the long run be beneficial to the vast majority of young people involved.

Several of the SAY regulations have been written especially to implement this philosophy as far as practicable. The overall objective of SAY is maximum participation with even competition at the various age levels.

Whether indoors or outdoors, from player clinics to tournament games, from pre-season fund raisers to post-season awards banquets, from field opening to field closing, SAY has teamed up with Bollinger Insurance to bring your Area and Districts $2,000,000 Commercial General Liability Insurance Policy which insures those involved in organizing or administrating any SAY sanctioned event. Those covered include administrators, referees, coaches, field maintenance workers, concession stand workers and other volunteers for bodily injury and property damage alleged to be caused by their negligence.

National Support

Our National Office is available to assist its members with administrative issues, as well as program and rule interpretation. An Administrators' Handbook is supplied to all Areas and Districts. The SAY Rulebook is based on FIFA rules, but we have customized our rulebook for recreational youth soccer. Our rulebook is provided at no charge to coaches and assistant coaches when ordered through team packets. Additionally, sign up posters and player agreement forms are provided at no additional cost. These are just a few of the benefits SAY members receive for their $6.00 per player SAY registration fee plus $1.00 per player USSF registration fee (beginning in January of 2002). There are never any per-team charges or fines.

Coach and Referee Training

SAY will assist your association in organizing referee and coach training clinics. Our SAY National Referee and Rules Committee can aid you in obtaining a Referee Trainer for your Area and have developed a Referee Training Syllabus with overheads, which can be ordered through our National Office. Embroidered patches are available for four levels of referee training. To aid in coach training, we have a working relationship with Challenger Sports Camps and the National Soccer Coaches Association of America. SAY also recognizes coach training from USYSA, NYSCA and ASEP. Additionally, your Area can submit your clinic for approval to the SAY Training and Education Committee. Embroidered patches are available for four levels of coach training. Books, videos and other training aids are also available. These items are all included on our merchandise page.

Publications

The "Center Circle" is an administrative newsletter that is published quarterly and is distributed to all Area and District Board members. The "Touchline" magazine is a semi-annual publication that is distributed to all Area and District Board members, as well as all players and coaches. The "Administrators' Handbook" is updated and republished every year and is distributed to all New Areas and Districts when they register with SAY for the year. You can also purchase the handbook in CD format.The "SAY Rulebook" is updated each year. The rulebook is distributed to all SAY Coaches and Assistant Coaches through the coaches' packets, which are received when the Area registers players.

Supplies and Merchandise Discounts

Equipment and supplies, such as balls and field-lining equipment, can be purchased at reduced cost by SAY members. You want a soccer ball, for example, there is the Bremen Eagle, which has a three-year guarantee. Bremen's list price is $36, but SAY members can purchase this ball for just $14.

Our National Office stocks 90% of the merchandise that we sell. All in-stock merchandise will be shipped within 24 hours of order placement. In most cases, orders are shipped the very same day. We accept Visa and MasterCard and members may order by fax, phone or e-mail.

In response to Dynamo’s question regarding issues surrounding switching Doug Wood from SAY responded:

Basically, your first 2 steps if interested in joining SAY will be to submit the Area Agreement and the Area Board list in the packet of information I forwarded. You can also find this form at SAY Soccer.org under the forms tab. We can certainly get everything in line prior to the first practice if interested.

Primary concerns of the National Board will be that your league abides by our philosophical rules of kids having fun, every player participating at least half of every game, teams are balanced and each volunteer with un supervised access to children under the age of 18 sign the volunteer screening form “or similar form/program is in place”

Dave also confirmed that Dynamo does not need to fill out any new volunteer, medical, or waiver forms this year.  Other advantages confirmed are that SAY focuses more on recreational leagues and revolves more around a fall schedule.  SAY is also $1.00 cheaper than IYSA.

Jeff motioned to move our membership to SAY and discontinue our membership with IYSA.  Vernette seconded.  Passed (unanimous).   Vernette will write letter to IYSA terminating our membership.  She will email to Ed for his signature and he will mail out.  Dave and Vernette will verify what forms need to be filled out for SAY and make sure they are done.
