Board of Directors Meeting Minutes
September 15, 2005 Dynamo Field

Attendance: Dave Diveley, Ed Smith, Vernette Karnes , John Hall, Bob Laskey , Jeff Gindy , Mary Kyrouac, Donna Harris, Greg Mattson, Kim Butterfield , Josh Posanka, Scott Kyrouac , Maureen Montgomery, Rhonda Schroeder, and Mike Patterson

Visitors: None

Ed called the meeting to order at 7:00

Ed questioned if anyone had any changes to the previous meeting’s minutes.  None states.  Jeff motioned to accept the minutes.  John seconded.  Passed.

Officer Reports:

A.     President- Nothing to report.

B.     Vice President- The Knights of Columbus would like to hold a soccer challenge on 10/14/05 at 1:00 .  No cost for Dynamo or the kids to participate.

C.     Secretary- We still need someone to be board member on duty for 9/24/05 .  John will cover.

D.   Treasurer-No treasurer report.  Ed will contact Mark to have him call the bank and to notify him if any checks from the fundraiser failed to clear.

E.   Parent Representative- Nothing to report.

Committee Reports:

A.   Fields and Grounds- Greg will get quotes for fall field up keep.  Dave will see if Dynamo can borrow the tractor from softball again.

B.   Sponsors- Mike discussed the best way to deliver sponsor plaques.  Mike will give any coaches that want to deliver their plaque to the sponsor.  All other plaques will be mailed.

C.   Fundraising- Totals for fundraiser still to be finalized.  But are cash in is around $38000.00.  Kim would like to look into discount cards for in the spring. 

D.   Concessions- Maureen will not be returning.  Maureen suggested that next year we give Pepsi or the beverage vendor a key for deliveries.  Maureen will also type up typical workflow.

E.   Equipment- Scott sent out email reminding coaches about equipment turn in and trophy pick up.

Scott still needs all the old mill uniforms turned in.

F.    Coaching- Bob is setting Old Mill coaches.  Try out will be September 24th and 25th.  Old Mill will be October 22nd and 23rd.  Bob will contact USSA regarding their schedule to see if conflicts with Old Mill tryouts/practices.  The times of the tryouts will be posted in the display case, coaches’ room, and website. 

Bob sent out reminders about the Olivet clinic.  He would like to consider adding a midseason coaches refresher clinic at the same time next year.

Bob will call coaches regarding make up games.

Scott received a request from another tournament.  Do we want to take our old mill teams to another tournament?  We will consider next year.

G.  Schedules- Vernette will have tournament schedule out next week.

H.   Pictures- Pictures should be in within the next 2 weeks.  This year the pictures will be signed out either by the team parent or the coach.  Donna will email Vernette when pictures are in so that she can post it in the newsletter.

I.      Building- Brent will put up cabinet in the women’s bathroom.  Brent will look into house fan for concession area.

J.     Draft- Nothing to report.

K.   Publicity- Jeff will send out request that all board members check their listed duties and update accordingly.

L.    Referee in Chief- It was question if off sides should be called in the 6/7 division.  John advised there is off sides and will be in the future.  It was an error from previous discussions about possibly taking it out for the 6/7 division.  It was voted on before and should always have been in effect.  Since it has not been called all year, the refs will not start now so that they don’t confuse the players. 

M. Risk Management- Nothing to report

Old Business

Josh handed out proposal for Hidden Cove indoor soccer and probable schedule.  There would be 2 sessions of 8 games.  Josh suggested that the board members go to Hidden Cove to see the improvements.  Dave will check to see if we would need to have additional Say insurance.  All the board members should review proposal and be prepared to vote at the September 26th meeting.

New Business

Ed congratulated Josh as he was hired as the assistant coach at KCC.

It was brought up of the possibility of Dynamo holding a tournament similar to Peotone’s Old Mill.  Vernette will head a committee with Bob and Josh.
