Board of Directors Meeting Minutes
November 13,2006 LeVasseur School

Attendance:  Vernette Karnes, Ed Smith, Kurt Karnes, Sarah Powers, Mark Goldfain, Ben Smith, John Hall, Greg Mattson, Jeff Gindy, Scott Kyrouac, Kim Butterfield, and Dave Jackson

Visitors: Jim Smith, Jennifer Harder, Colin White, Mark Howard

Ed called the meeting to order at 6:32

Jim Smith is recommending rule changes.  Jim is requesting that preassigned coaches limit be changed to 3 instead of 2.  The board listened to his recommendation and all agreed that the limit has been an improvement to the balance of teams and should not be changed.

Jim is also requesting that Dynamo allow more practice times for the 12-14 age division. The board agrees that more practice time would be beneficial, but due to limited field space Dynamo hasn’t been able to accommodate this.  Dynamo will continue to look into the feasibility of more practice times for the older age groups.

Officer Reports:

A.     President- Ed thanked everyone for a good year.

B.   Vice President- Indoor is set to go.  John is looking into possible fundraiser for indoor.

John reminded the board that email should be used for information only and not dialogue. 

C.     Secretary- Annual dinner is December 1st at 6:30.

D.   Treasurer- Mark asked if additional money should be converted to bonds.  This will be tabled to the January meeting.  Mark will check on mini audit.

E.   Parent Representative- Nothing to report.

Committee Reports:

A.   Fields and Grounds- Art’s will start on working on fields next week.  Ed will check on southern development to make sure land height is within code.  Porta potties will be picked up next week.  Picnic tables will need to be put up.

B.   Sponsors- Nothing to report.

C.   Fundraising- Nothing to report.

D.   Concessions- Ed will check with Kim Smith on Pepsi picking up unused pop.

E.   Equipment- Nothing to report.

F.    Coaching- Challenger camp for next year set for June 25-29.

G.  Schedules- Nothing to report.

H.   Pictures- Nothing to report.

I.       Building- Building winterized.

J.     Draft-. Nothing to report.

K.    Publicity- Nothing to report.

L.    Referee in Chief- Nothing to report.

Old Business

Email Ben if interested in helping with Dynamo invitational.

Constitution changes.  Jeff had previously sent out proposed changes to constitution.  All changes passed with the exception of change #103 and #104. Dynamo will leave #103 regarding Old mill coach selection as is. For # 104, Dynamo will not add the position of sergeant of arms.  Jeff motioned to accept the constitution with approved changes, John seconded.  Passed.

New Business

Issues for 2007.  Several tabled to January/February meetings.  The follow were discussed/finalized.

Dynamo will allow ez ups for games as long as they are behind the spectators and are not blocking other spectators.  Golf carts will not be allowed unless they are being used for a disabled/handicapped or injured person.

It was suggested by parent that Dynamo consider placing team in pools based on how they did.  Dynamo will not do this.  The schedule for the tournament is completed weeks before the end of the season.

Dynamo will continue to use the current names we currently use such as 6-7 year old, but will try to clarify what ages apply in regards to Old Mill.

It was recommended that jersey colors be considered when making the schedule, because some teams had to play another team with a similar color.  This is not feasibility, but Dynamo will keep pennies on hand for the occasions.

Dynamo will look into fertilizing in the spring and adding more sod if needed.

A parent suggestion: The tournament winners be given something extra.  Dynamo is a recreation organization and everyone receives the same trophy.

A parent suggestion: The tournament should be over 2 weekends.  Because of other events, 2 weekends is not feasible.

Jeff recommends that Dynamo purchase signs similar to those used to advertise for political elections.  He suggested that these could be used to indicate no smoking or no dogs.  50 signs are approximately $200.00.

Parent suggestion:  Start the season 1 week later due to softball and baseball all stars.  Due to weather issues, Old Mill, possible Dynamo invitational, Dynamo will keep the season as is.
